Privacy policy

Last updated: 15 October 2026

Pharus IT ("we", "us") provides IT support and consultancy to home users and businesses across Somerset. This policy explains what personal information we collect through this website and in the course of our work, why we collect it, and the choices you have.

Who we are

Pharus IT is the data controller for the personal information described in this policy. We are based in Burnham-On-Sea, Somerset, UK.

Email: info@pharusit.co.uk

Phone: +44 7342 874482

What we collect and why

When you contact us through the website

Our contact and quote forms ask for your name, email address and, optionally, a phone number, company name and message. We use these details to reply to your enquiry and, if you go on to use our services, to set up and manage our work together.

Submissions are stored in our content management system and emailed to us. If you give us an email address we also send you an automatic confirmation that your message arrived.

When you email or call us

We keep the correspondence and call notes needed to deal with your request and to keep a record of the advice and work we have provided.

When you become a client

To support your systems we may need account details, device information and access credentials. We collect only what the agreed work requires, store it securely, and remove it when it is no longer needed.

Technical information

Our hosting provider keeps standard server logs, which include your IP address, browser type and the pages requested. These are used for security and to keep the site running, not to build a profile of you. The contact form also uses your IP address momentarily to limit repeated submissions; it is not stored with your enquiry.

Our lawful basis

Under UK data protection law we rely on:

  • Legitimate interests — responding to enquiries, running and securing the website, and keeping business records.
  • Contract — providing services you have asked us for.
  • Legal obligation — keeping accounting and tax records.

We do not use your information for automated decision-making or profiling.

Who we share it with

We do not sell personal information or share it for marketing. We use a small number of service providers who process data on our behalf:

  • Vercel — hosts this website.
  • Neon — hosts the website database, located in London (AWS eu-west-2).
  • Cloudflare — stores the images used on the site.
  • Resend — sends our enquiry and confirmation emails.

Some of these providers may process data outside the UK. Where they do, transfers are covered by the UK International Data Transfer Agreement or equivalent safeguards. We may also disclose information where the law requires it.

How long we keep it

  • Website enquiries are kept for as long as needed to deal with them and for up to two years afterwards.
  • Client records are kept for the duration of our relationship and for six years after it ends, as required for accounting purposes.
  • Server logs are kept by our hosting provider for a short rolling period.

Cookies

This website does not use analytics, advertising or tracking cookies. The only cookies it sets are for our own staff when they sign in to manage the site; nothing is set on your browser when you visit.

Keeping your information secure

The site is served over HTTPS, access to the content management system is restricted to our staff, and enquiries are protected by submission limits and validation. Client credentials we hold are stored in an encrypted password manager and shared only with the people doing the work.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information, or to stop using it, where we no longer need it;
  • object to our use of your information where we rely on legitimate interests;
  • receive the information you gave us in a portable format.

To exercise any of these rights, email info@pharusit.co.uk or call +44 7342 874482. We will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

We will update this page if the way we handle personal information changes. The date at the top shows when it was last revised.
